FAQ

Frequently asked questions

Everything Canadian business owners ask us about outsourced bookkeeping, automation and compliance.

General

What does IndoMaple Advisory do?

We are an outsourced bookkeeping and accounting firm based in India that works only with Canadian clients. We handle monthly bookkeeping, catch-up work, payroll, GST/HST returns, year-end preparation, reporting and virtual CFO support. Above all, we automate your accounting systems so your team spends far less time on manual work.

Is it safe to outsource bookkeeping to India?

Yes, when the provider follows strict security practices. We sign NDAs, work inside your own cloud software, use multi-factor authentication and role-based access, and never ask for your online banking password.

Do you know Canadian tax rules?

Yes. Our work is built around Canadian requirements: GST/HST, BC PST, Saskatchewan PST, Manitoba RST, Quebec QST, CPP/QPP and EI payroll deductions, T4 and T5018 slips, and T2 and T1 year-end preparation.

What hours are you available?

We are available Monday to Friday, 9 am to 6 pm Eastern Time (ET). Because our team is ahead of Canadian time, routine work is often finished overnight and ready by your next morning.

How much do your services cost?

Dedicated bookkeepers for daily bookkeeping start from $12 CAD an hour for a junior bookkeeper. Monthly bookkeeping is a fixed monthly fee based on your volume. See our pricing or compare the cost of hiring in Canada.

How much does it cost to hire a bookkeeper in Canada?

Job Bank lists bookkeeper wages from about $19.55 to $28.02 an hour (low to median). Add employer CPP and EI, vacation pay, statutory holidays, workers’ compensation, benefits and equipment, and a full-time junior bookkeeper at $22/hour costs about $50,252 a year, roughly $27.80 per hour actually worked. Try our calculator.

Can you work with my existing accountant or CPA?

Absolutely. Many clients keep their CPA for tax filing and assurance work. We keep the books clean all year and hand over a complete year-end package, which usually lowers their fees.

Pricing

How much does a dedicated bookkeeper cost?

Junior bookkeepers start from $12 CAD per hour, billed only for hours worked on your file. Senior bookkeepers and accountants are quoted based on the work.

What decides my monthly fee?

Mainly your monthly transaction volume, the number of bank and card accounts, and which services you include (payroll, sales-tax filing, AP/AR, reporting). We give you a fixed fee after a free consultation.

Are there setup or catch-up fees?

Onboarding for a clean, up-to-date file is included. If your books are behind or messy, catch-up work is quoted once, as a fixed price, before we start.

Is there a long-term contract?

No. Monthly plans can be cancelled with 30 days’ notice. Your data stays in your own accounting software.

Do prices include software subscriptions?

Software such as QuickBooks Online, Xero, Dext or payroll platforms is billed by those providers. We recommend the most cost-effective tools for your needs.

Accounting & AI Automation

Do you use AI for bookkeeping?

Yes. We use AI to read documents, categorise transactions, match payments and flag errors or duplicates. Every result is reviewed by an accountant, and we choose tools that keep your financial data secure.

What are the benefits of bookkeeping automation?

Fewer work hours spent on data entry, tasks that run automatically on schedule, far fewer errors, a faster month-end close, up-to-date numbers every day, and costs that don’t rise every time your transaction volume grows.

Will automation replace my bookkeeper?

It replaces data entry, not judgement. Automation captures and codes the routine 80%. An accountant still reviews every month, handles the exceptions and reconciles the accounts. The result is cleaner books for less effort.

Which software do you automate?

Mostly QuickBooks Online and Xero, plus Sage, Zoho Books, Wave, FreshBooks and Buildium (for property management), together with Dext, Hubdoc, Plooto, Wagepoint, Shopify, Stripe, Square, Zapier and Make. If a tool has an API or an export, we can usually connect it.

Do I have to change accounting software?

Not usually. We start with what you already use. If a different tool would save you a lot of time, we explain the trade-off and handle the migration if you agree.

Can you automate my existing CPA firm workflows?

Yes. For accounting firms we automate client document collection, bank-feed coding, working papers and month-end checklists, and can work white-label under your firm’s name.

Monthly Bookkeeping

How much does outsourced bookkeeping cost in Canada?

It depends mainly on how many transactions you have each month, how many bank accounts you have, and whether you need payroll or sales-tax filing. We quote a fixed monthly fee after a free consultation, so there are no surprise hourly bills.

Do you work with my accountant?

Yes. Many clients keep their existing CPA for year-end and tax. We keep the books clean all year and hand over a tidy year-end package, which usually lowers your CPA’s fee too.

Which accounting software do you use?

QuickBooks Online, Xero, Sage 50, Zoho Books, Wave and FreshBooks, plus Buildium for property managers and landlords. We work inside your file, so you own your data at all times.

How often will my books be updated?

Monthly by default, with a month-end close by an agreed date. Weekly or bi-weekly updates are available for businesses with high volume or tight cash flow.

Daily Bookkeeping & Dedicated Bookkeepers

How much does a dedicated bookkeeper cost?

Junior bookkeepers start from $12 CAD per hour. Senior bookkeepers and accountants are quoted based on experience and the work involved. You only pay for hours worked on your file.

Will I have the same bookkeeper every day?

Yes. You get a named, dedicated bookkeeper who learns your business, with a trained backup who knows your file for holidays and sick days.

Can my bookkeeper work during Canadian hours?

We schedule overlap hours with Canadian business time for calls and urgent work. Routine work is usually done overnight, so it is ready when you start your day.

Do I need to pay CPP, EI or benefits?

No. Your bookkeeper is employed by IndoMaple, not by you. You pay one hourly rate with no payroll deductions, benefits, equipment or hiring costs.

Catch-up & Clean-up Bookkeeping

How long does catch-up bookkeeping take?

A typical small business year takes one to three weeks once we have the statements. Rush timelines are possible when a CRA or bank deadline is close.

Can you work from bank statements only?

Yes. Bank and credit card statements are the minimum. Receipts and invoices help with GST/HST input tax credits, so we will ask for them where they matter.

What happens after the catch-up?

Most clients move to our monthly bookkeeping so they never fall behind again, but there is no obligation.

Accounts Payable & Receivable

Do you make payments from my bank account?

Only if you want us to, and only through approval-based tools where you approve each payment run. We never need your online banking password.

Can you chase overdue invoices for us?

Yes. We send reminders in your company’s name using a tone you approve, and escalate to you before anything becomes a collections matter.

Payroll Processing

Do you support payroll in every province?

Yes, including Quebec, where QPP, QPIP and RL-1 slips apply and Revenu Québec handles provincial deductions.

Can you handle contractors as well as employees?

Yes. We track contractor payments and prepare T4A or T5018 slips where required, and we can flag workers who may need to be treated as employees.

GST/HST, PST & QST Returns

When is my GST/HST return due?

Monthly and quarterly filers have one month after the end of the reporting period. Most annual filers have three months after their fiscal year-end. Individuals with business income and a December 31 year-end file by June 15 but must pay by April 30.

Can you file returns electronically for me?

Yes. We prepare the return and file it electronically through the appropriate CRA or Revenu Québec channel with your authorisation, or prepare it for you to submit yourself.

I sell online across Canada. Which tax do I charge?

Generally the tax of the province where your customer is located. We set up your sales channels to apply the right rate automatically and help you register in provinces where it is required.

Year-end & Tax Preparation Support

Do you file corporate tax returns?

We prepare T2 returns and supporting schedules. Depending on your province and needs, they are filed by you or reviewed and filed by your CPA. We are happy to work with your current accountant.

Can you help if I missed a tax deadline?

Yes. Late returns are best filed as soon as possible to limit penalties and interest. We catch up the books and prepare the returns quickly.

Financial Reporting & Dashboards

Can reports be delivered automatically?

Yes. Dashboards update from your books, and we schedule a monthly report to arrive in your inbox on a set day, along with a short written summary.

Virtual CFO & Advisory

How is a virtual CFO different from bookkeeping?

Bookkeeping records what happened. A virtual CFO uses those numbers to plan what happens next: cash, growth, pricing and financing decisions.

Do you give tax planning or legal advice?

We model the financial impact of decisions and work with your CPA and lawyer, who give the formal tax and legal advice.

Outsourcing for CPA Firms

Who reviews and signs the work?

Your firm does. We prepare; your licensed professionals review, sign and keep the client relationship.

Do you offer a trial for accounting firms?

We don’t offer trials for CPA and accounting firms. Instead, we walk you through our process, review standards and security in a detailed onboarding call, and you can start with a small number of paid files and scale up from there.

Software Migration & Setup

Can you move my books from one accounting software to another?

Yes. We handle transitions such as QuickBooks Desktop to QuickBooks Online, QuickBooks Online to Xero (or the reverse), Sage 50, Wave, FreshBooks or Zoho Books to QuickBooks or Xero, and property-management books to or from Buildium. We check that every balance matches the old system before you go live.

Will I lose any data when switching software?

Not with a planned migration. We move your lists, opening balances, open invoices and bills, and history where needed, then compare the trial balance, receivables, payables, bank and sales-tax balances with your old system. You keep access to your old file for reference.

How long does an accounting software migration take?

A typical small-business migration takes one to three weeks, depending on how much history moves across and how clean the old books are. We pick a cut-over date, usually a month-end, so there is no gap in your bookkeeping.

QuickBooks Online or Xero, which is better in Canada?

Both work well for Canadian businesses. QuickBooks Online has the largest Canadian user base and many accountants know it. Xero is popular for clean multi-currency handling and its app ecosystem. We recommend one based on your industry and integrations.
