Accounting & AI Automation

AI Bookkeeping & Accounting Automation for Canadian Businesses

Most bookkeeping firms just type your numbers in faster. We change how the numbers get there. Automation is what we do best. We map how money moves through your business, then build systems that capture, code, match and report it with as little human effort as possible.

We automate your systems like no one else

Every hour your team spends downloading statements, keying receipts, chasing invoices or rebuilding the same spreadsheet is an hour that could be automated. We audit your current workflow, find the manual steps, and replace them with connected tools and rules that run every day without anyone touching them.

Then we keep it running. Automations break when a bank changes a format or a vendor changes an invoice layout. We monitor them so nothing slips through, and the person reviewing your books is an accountant, not a script.

Benefits of automating your bookkeeping

  • Fewer work hours: data entry, matching and report building that used to take your team hours each week happen automatically.
  • Tasks that run themselves: bank feeds, bill capture, invoice reminders, payout splitting and month-end reports run on schedule with nobody touching them.
  • Fewer errors: no retyping means no typos, missed receipts or duplicate entries, and rules code the same transaction the same way every time.
  • Faster month-end: books close sooner because most of the work is already done when the month ends.
  • Up-to-date numbers: cash, receivables and profit are current every day, not weeks later.
  • Lower cost as you grow: more transactions don’t mean hiring more people.
  • Better records for CRA: every receipt and approval is stored with its transaction, ready if you are ever reviewed.

AI-powered bookkeeping

We use AI to take automation further than rules alone can. AI handles the repetitive judgement calls in bookkeeping, and our accountants review the results, so you get speed without giving up accuracy.

  • AI document reading: invoices, receipts and statements, including scans and photos, are read and turned into entries automatically.
  • AI transaction categorisation: transactions are coded to the right account and sales-tax code based on your history.
  • Error and duplicate detection: AI flags unusual amounts, duplicate bills and possible mis-coding before they reach your reports.
  • Smart reconciliation: payments are matched to invoices and bills even when amounts or references don’t match exactly.
  • Plain-English summaries: AI helps draft your monthly report commentary, checked by your accountant before it is sent.
  • Human review on everything: AI suggests, an accountant approves. Nothing reaches your books unchecked.

What we automate

  • Bank and credit card feeds: connected directly to QuickBooks Online or Xero, with bank rules that code recurring transactions automatically.
  • Receipts and bills: snap a photo or forward an email. Dext or Hubdoc reads it, and the bill is coded, matched and attached to the transaction.
  • Accounts payable: approval workflows and scheduled payments (for example with Plooto), so bills get paid on time with an audit trail.
  • Invoicing and collections: recurring invoices, online payment links and polite automatic reminders that cut the days it takes to get paid.
  • Sales channels: Shopify, Amazon, Stripe, Square and PayPal payouts split into gross sales, fees, refunds and GST/HST automatically.
  • Payroll to books: payroll journals posted automatically from your payroll provider.
  • Reporting: dashboards and monthly reports that build themselves and land in your inbox on a set day.
  • Custom workflows: Zapier, Make and API connections between your CRM, job software, spreadsheets and accounting system.

How an automation project works

  1. 1

    Workflow audit

We map every step from sale to cash and from bill to payment, and mark what is still done by hand.

  2. 2

    Automation plan

You get a written plan: what we will automate, which tools it needs, the monthly tool cost and the time it will save.

  3. 3

    Build and test

We connect the tools, write the rules and run them alongside your current process until the results match.

  4. 4

    Run and improve

We monitor the automations every month, fix breaks quickly and keep adding new ones as your business grows.

Accounting & AI Automation: common questions

Do you use AI for bookkeeping?

Yes. We use AI to read documents, categorise transactions, match payments and flag errors or duplicates. Every result is reviewed by an accountant, and we choose tools that keep your financial data secure.

What are the benefits of bookkeeping automation?

Fewer work hours spent on data entry, tasks that run automatically on schedule, far fewer errors, a faster month-end close, up-to-date numbers every day, and costs that don’t rise every time your transaction volume grows.

Will automation replace my bookkeeper?

It replaces data entry, not judgement. Automation captures and codes the routine 80%. An accountant still reviews every month, handles the exceptions and reconciles the accounts. The result is cleaner books for less effort.

Which software do you automate?

Mostly QuickBooks Online and Xero, plus Sage, Zoho Books, Wave, FreshBooks and Buildium (for property management), together with Dext, Hubdoc, Plooto, Wagepoint, Shopify, Stripe, Square, Zapier and Make. If a tool has an API or an export, we can usually connect it.

Do I have to change accounting software?

Not usually. We start with what you already use. If a different tool would save you a lot of time, we explain the trade-off and handle the migration if you agree.

Can you automate my existing CPA firm workflows?

Yes. For accounting firms we automate client document collection, bank-feed coding, working papers and month-end checklists, and can work white-label under your firm’s name.
